Please note!(喂,你們其它的客戶能接受的不一定我的客戶就可以接受,你是不是想對我說“同樣的產(chǎn)品我們銷售給其它的客戶都沒有異議,所以你們最好閉嘴.)九.“你急他不急”型商務(wù)函電I will check with my engineer with the old samples, and find out how to solve the problem that you mentioned on the mail, in order to send the best samples to you.(你們手上難道就沒有合格的樣品可以先寄了?我沒有時間等你去研究,我現(xiàn)在急要的是合格樣品寄給客戶不是你的研究報告.)十.“敷衍了事”型商務(wù)函電Thanks for your e-mail.We will send the samples to you asap.(這個as soon as possible到底是什么時候?我到底可不可以在要求的日期前收到你們的樣品?)怎樣撰寫外貿(mào)商務(wù)電函 撰寫商務(wù)信函并不要求您使用華麗優(yōu)美的詞句。所有您需要做的就是,用簡單樸實的語言,準確的表達自己的意思,讓對方可以非常清楚的了解您想說什么。圍繞這一點,我們總結(jié)了幾方面的內(nèi)容,希望對您寫作商務(wù)信函有借鑒作用??谡Z化每一封信函的往來,都是您跟收信人彼此之間的一次交流。人都是感性的,所以您需要在您的信函里體現(xiàn)感性的一面。然而很多人都有一種誤解,以為寫作商務(wù)信函就應該用一種特殊的“生意腔”,于是把一封本來應該是熱情而友好的信函寫得呆板而死氣沉沉。他們寧愿寫“Your letter has been received”,“Your complaint is being looked into”而不是“I have received your letter”或者“We are looking into your complaint”。其實我們簡單的來理解一下,每次信函的往來不就是跟對方進行了一次交談嗎?只不過是把交談的內(nèi)容寫到了紙上而已。多用一些簡單明了的語句,用我/我們做主語,這樣才能讓我們的信函讀起來熱情,友好,就象兩個朋友之間的談話那樣簡單,自然,人性化。想象一下,如果您由于無法準時交貨而在電話上跟您的合作伙伴表示歉意時,您會怎么說?我想您會說“I am sorry we cannot deliver the goods today”。 既然在電話中您會這樣說,為什么在信件中要改成“It is regretted that goods cannot be delivered today”?放棄這種所謂的“生意腔”吧,讓您的信也象談話那樣簡單,自然,人性化。語氣語調(diào)由于您寫的信函都是有其目的性的,所以您信函里所采用的語氣語調(diào)也應該符合您的目的。在寫之前先不妨仔細考慮一下,您寫這封信函是想達到一個什么樣的目的,您希望對收信人產(chǎn)生一種怎樣的影響呢?是歉意的,勸說性的,還是堅決的,要求性的。這完全可以通過信函中的語氣語調(diào)來表現(xiàn)。*真誠不管是生活中的交往還是生意上的合作,真誠是最重要也是最基礎(chǔ)的,所以您的信函也必須能夠充分體現(xiàn)您的真誠。不管說什么,都要帶著您的誠意去說。把寫好的信函拿起來讀一遍,確保如果此時對方正在電話中與您通話,他一定能夠感受到您的自然和真誠。*直接跟您一樣,您的合作伙伴們每天都要閱讀大量信函文件。所以,信函一定要寫得簡明扼要,短小精悍,切中要點。如果是不符合主題或者對信函的目的不能產(chǎn)生利益的內(nèi)容,請毫不留情的舍棄它們。因為這些內(nèi)容不僅不能使交流通暢,反而會混淆視聽,非但不能讓讀者感興趣,反而會讓他們惱火,產(chǎn)生反感。*禮貌我們這里所說的禮貌,并不是簡單用一些禮貌用語比如your kind inquiry, your esteemed order等就可以的。而是要體現(xiàn)一種為他人考慮,多體諒對方心情和處境的態(tài)度。如果本著這樣的態(tài)度去跟別人交流,那么就算您這次拒絕了對方的要求,也不會因此失去這個朋友,不會影響今后合作的機會。特別要注意,當雙方觀點不能統(tǒng)一時,我們首先要理解并尊重對方的觀點。如果對方的建議不合理或者對您的指責不公平時,請表現(xiàn)一下您的高姿態(tài),您可以據(jù)理力爭,說明您的觀點,但注意要講究禮節(jié)禮貌,避免用冒犯性的語言。還要提醒一點,中國人有句話叫做“過猶不及”。任何事情,一旦過了頭,效果反而不好。禮貌過了頭,可能會變成阿諛奉承,真誠過了頭,也會變成天真幼稚。所以最關(guān)鍵的還是要把握好“度”,才能達到預期的效果。*簡潔就象前面提到的,要用簡潔樸實的語言來寫信函,讓您的信函讀起來簡單,清楚,容易理解。用常見的 單詞 ,避免生僻或者拼寫復雜的 單詞 。一個 單詞 可以表達,就不要用詞組。多用短句,因為短句更容易理解。少用“and”,“but”,“however”,“consequently”這些讓句子變得冗長的連詞。在同一封信函里,不要使用多個相同含義的單詞。比如,您前面寫了“goods have been sent”,那后面再提到這件事時就不要再用其他單詞如“forward”“dispatch”等。因為這樣寫會誤導您的讀者無謂地去考慮這些詞之間是否另有含義。*精確當涉及到數(shù)據(jù)或者具體的信息時,比如時間,地點,價格,貨號等等,盡可能做到精確。這樣會使交流的內(nèi)容更加清楚,更有助于加快事務(wù)的進程。針對性請在郵件中寫上對方公司的名稱,或者在信頭直接稱呼收件人的名字。這樣會讓對方知道這封郵件是專門給他的,而不是那種群發(fā)的通函,從而表示對此的重視。當然,如果您無法確定收信人的名字,那就在稱呼一欄里寫“Dear Sirs” or “Dear Sir or Madam”。語言樸實前面我們說過,商務(wù)信函不需要用華麗的詞句。根據(jù)西方的語言習慣,他們更愿意使用簡練而樸實的語言。所以當我們跟西方人進行商務(wù)溝通時,也要盡量避免華麗復雜的詞句。比如“We look forward to a bright and glorious future of cooperation”,就不如直接寫成“We hope to have the opportunity to work together with you in the future.”,這樣才更加符合西方人的語言習慣?;貜脱杆偌皶r給買家的回復,千萬要迅速及時。因為買家通常只看最先收到的幾封回復,從中去選擇合適的供應商。如果您的回復不夠及時,就可能因為搶不到先機而失去商機。五種常見的邀請函電一、Dear sir/madam:Im delighted you have accepted our invitation to speak at the conference in city on date.As we agreed, youll be speaking on the topic from time to time. (We決定呀, 不是report.)2.句子不要凌碎. 例子: He decided not to audit the last ten contracts. Because of our previous objections about compliance. 應該連在一起。3.結(jié)構(gòu)對稱,令人容易理解. 例子: The owner questioned the occupants lease intentions and the fact that the contract had been altered with ink markings. 應改為: The owner questioned the occupants lease intentions and ink alterations of the contract。4.單眾數(shù)不要搞亂,不然會好刺眼,看不舒服. 例如: An authorized person must show that they have security clearance。5.動詞主詞要呼應. 想想這兩個分別: 1.This is one of the public-relations functions that is under budgeted. 2. This is one of the public-relations functions, which are under budgeted。6.時態(tài)和語氣不要轉(zhuǎn)變太多.看商務(wù) 英語 已經(jīng)是苦事,不要浪費人家的精力啊。7.標點要準確. 例如: He did not make repairs, however, he continued to monitor the equipment. 改為: He did not make repairs; however, he continued to monitor the equipment。8.選詞正確. 好像affect和effect, operative和operational等等就要弄清楚才好用啦。9.拼字正確. 有電腦拼字檢查功能后,就更加不能偷懶。10.大小寫要注意.非必要不要整個字都是大寫,除非要罵人,:,例如: MUST change to OS immediately. 外國人就覺得不禮貌和喝令人一樣. 要強調(diào)的話,用底線,斜字,粗體就可以了。 外貿(mào) 函電寫作技巧之二 B. 文體1.可讀性.對象是大學程度的話,用高中的英文就行,不要以為人人都是語言大師.多用短句(15-20字吧), 技術(shù)性的字,就更加要簡單易明。2.注意段落的開頭.一般來說,重要或強調(diào)的事情都放在信件或段落的開頭,而句子就放在最尾. 例如: 1.Because he was unable to attend the meeting personally, he forwarded his congratulations on cassette tape. 2.He forwarded his congratulations on cassette tape because he was unable to attend the meeting personally. 兩者強調(diào)的事情就有分別了。3.輕重有分. 同等重要的用and來連接,較輕放在次要的句子里。4.意思轉(zhuǎn)接詞要留神. 例如: but (相反), therefore (結(jié)論), also (增添), for example (闡明). 分不清furthermore和moreover就不要用啦。5.句子開頭不要含糊不清的主詞. 例子: These decisions have been a big disappointment to the committee members. They have delayed further action. They是指什么呀?開頭少用this, that, it, they, 或 which。6.修飾詞的位置要小心,例如: He could only reimburse the cost after July 15. 應為 He could reimburse the cost only after July 15。7.用語要肯定準確.切忌含糊. 例如:The figures show a significant increase.” 怎樣significant呀,大哥? 改為: The figures show an increase of 19%。8.立場觀點一致. 少用被動語. 例如: Partial data should be submitted by April. 改為: You should submit partial data by April.就很好了。 外貿(mào) 函電寫作技巧之三 C. 格調(diào)1.式樣和句子長度不要太單調(diào). 千篇一律的subject-verb-object會悶死人的.有時短句跟著長句可以化解一下。2.弱軟的詞(e.g. was, were, is, are.)可以加強一點. 例如: Prunton products are highly effective in . 改為: Prunton products excel in .就有力很多了。3.親切,口語化是比較受歡迎! 用賓詞和主動的詞,讓人家受落. 例如: 1. This information will be sincerely appreciated.” 2. We sincerely appreciate your information. 明顯地,我們會喜歡第2句。 外貿(mào)函電 寫作技巧之四 D. 寫信提示1.人家的名字千萬不要錯.老一輩的看到名字錯就干脆攆去垃圾桶。同樣, 頭銜都不要錯. 頭銜或?qū)W位,任擇其一吧.以下是一樣的:Howard E. Wyatt, D.D.SPhD。Dr. Howard E. Hyatt2.多過一個男人,用Messrs,就是Misters的意思,不過不要跟名字,跟姓就行啦.例如:Messrs. Smith, Wyatt, and Fury女人呢? 用Mesdames, Mmes., or Mses. 同樣不要跟名字. 例子:Mses. Farb, Lionel, and Gray男女一齊呢? 弄清楚稱呼就行.例如:Dr. and Mrs. Harold WrightMr. Harold Wright and Dr. Margaret WrightMr. and Mrs. Harvey Adams-Quinn3.有人有自己頭銜就要跟緊,例如有人有榮譽學位就不喜歡用一般的頭銜啊有時大頭不知道對方頭銜,干脆用Ms.算了。Ms. Sarah Gray4.地址要低日期至少兩行.處名時,職銜短可以一行過,長就下一行吧.例如:Ken Green, PresidentKen GreenVice President of International Operations但這個就顯得有點。:Ken GreenVice President of Unicom China正確應為:Ken GreenVice President, Unicom China5.老外的名字有時有Jr. 或 Sr.,之前的逗點是隨你喜歡的,以下都是正確,不要笑人:Michael J. Smith, Jr。Michael J.
